This Privacy Statement explains which personal data we process through <a href=\"https:\/\/peggy-sue.com\/en\/\">peggy-sue.com<\/a> and during subsequent contact, why we do so, with whom data may be shared, how long we retain it and what rights you have.<\/p>\n<p>This Statement covers the website, contact and intake requests and initial communications with Peggy-Sue. If a formal treatment or care relationship is subsequently established, additional privacy arrangements and statutory rules may apply. You will then be informed separately.<\/p>\n\n<h2>1. Which personal data do we process?<\/h2>\n<p>Depending on how you contact us, we may process the following data:<\/p>\n<ul>\n<li>your name, email address and telephone number;<\/li>\n<li>whether you are contacting us for yourself or for a loved one;<\/li>\n<li>your health insurer and the contents of your message;<\/li>\n<li>information you provide about addiction, health, family or personal circumstances;<\/li>\n<li>the page on which you completed the form;<\/li>\n<li>technical data, such as your IP address, browser, device, pages visited, date and time and cookie preferences;<\/li>\n<li>correspondence, appointments and administrative information arising from the contact.<\/li>\n<\/ul>\n\n<h2>3. Sensitive health data<\/h2>\n<p>Information about health and addiction may constitute special-category personal data and is afforded additional protection. Please only share information through a form that is necessary for us to assess your request. If you provide information about another person, do not share more than is necessary and make sure that you are authorised to share that information with us.<\/p>\n<p>Submitting a contact or intake form is a request for contact and does not in itself constitute a medical diagnosis, treatment agreement or medical record.<\/p>\n\n<h2>4. Why do we process data and on what legal basis?<\/h2>\n<p>We process personal data for the following purposes:<\/p>\n<ul>\n<li>to answer your question, contact you and prepare an intake or introductory consultation;<\/li>\n<li>to assess which support, referral or treatment may be appropriate;<\/li>\n<li>to perform arrangements and remain in contact with you;<\/li>\n<li>to secure the website, prevent misuse and spam and investigate faults;<\/li>\n<li>to compile visitor statistics and improve the website after obtaining your consent;<\/li>\n<li>to comply with legal and administrative obligations and handle legal claims.<\/li>\n<\/ul>\n<p>Depending on the circumstances, the legal basis is your request prior to entering into a contract, the performance of a contract, your consent, a legal obligation or our legitimate interest in providing secure and careful services. When processing health data, we only rely on an applicable exception under Article 9 GDPR, such as your explicit consent or - where legally applicable - processing necessary for health or social care by persons subject to a duty of confidentiality.<\/p>\n\n<h2>5. Contact forms and email<\/h2>\n<p>The active forms on this website do not store submissions as a separate form history in WordPress. A submission is emailed to <a href=\"mailto:info@peggy-sue.com\">info@peggy-sue.com<\/a>, <a href=\"mailto:peggy-sue@peggy-sue.com\">peggy-sue@peggy-sue.com<\/a> and the additional mailbox authorised by Peggy-Sue, <a href=\"mailto:peggysue.figueira@me.com\">peggysue.figueira@me.com<\/a>. The person submitting the form receives a copy at the email address they enter.<\/p>\n<p>We use Microsoft 365 for business email. The additional mailbox is provided by Apple iCloud. Only authorised persons have access to these mailboxes. Please note that ordinary email is not suitable for acute medical emergencies. If there is an immediate danger, call 112 or contact your GP or out-of-hours GP service.<\/p>\n\n<h2>6. Matomo, IP addresses and cookies<\/h2>\n<p>With your consent, we use our own Matomo installation at <a href=\"https:\/\/matomo.peggy-sue.com\/\">matomo.peggy-sue.com<\/a> to measure use of the website. Matomo is only loaded after you have accepted statistics cookies. We do not use Google Analytics.<\/p>\n<p>Matomo processes information including your full IP address, pages visited, referring page, device and browser details and the date and time. Raw visit logs, including the full IP address, are automatically deleted once they are more than 180 days old. Aggregated statistical reports may be retained for longer where they can no longer be directly linked to a visitor.<\/p>\n<p>Further information about the cookies we use and how to change or withdraw your consent is available in our <a href=\"https:\/\/peggy-sue.com\/en\/cookie-policy\/\">Cookie Policy<\/a>.<\/p>\n\n<h2>7. External links and social media<\/h2>\n<p>The website contains links to services including WhatsApp, Facebook and Instagram. When you open an external link, the provider concerned processes data in accordance with its own privacy policy. Where consent is required, embedded external media is only loaded after you have given that consent.<\/p>\n\n<h2>8. With whom do we share personal data?<\/h2>\n<p>We do not sell personal data. Where necessary, data may be shared with:<\/p>\n<ul>\n<li>authorised staff and professionals engaged by Peggy-Sue;<\/li>\n<li>hosting, website management and security service providers;<\/li>\n<li>Microsoft for Microsoft 365 and Apple for the authorised iCloud mailbox;<\/li>\n<li>care or referral partners where this is necessary and permitted in relation to your request;<\/li>\n<li>public authorities or other parties where required by law or necessary in connection with a legal claim.<\/li>\n<\/ul>\n<p>Where required, we agree confidentiality, security and processing-on-instruction arrangements with processors.<\/p>\n\n<h2>9. Transfers outside the European Economic Area<\/h2>\n<p>Some suppliers, including Microsoft and Apple, are international organisations. Where personal data is processed outside the European Economic Area, this is done only on the basis of a valid transfer mechanism, such as an adequacy decision or standard contractual clauses approved by the European Commission, with appropriate supplementary safeguards where necessary.<\/p>\n\n<h2>10. How long do we retain data?<\/h2>\n<ul>\n<li>contact and intake requests: generally no longer than two years after the last substantive contact, unless a follow-up pathway is established or longer retention is necessary for a legal obligation or claim;<\/li>\n<li>information that becomes part of a medical record held by a care provider: the applicable statutory period, generally twenty years from the most recent amendment to the record, or longer where required by law or good care;<\/li>\n<li>financial and administrative records: seven years where the statutory Dutch tax retention period applies;<\/li>\n<li>raw Matomo visit logs: no longer than 180 days;<\/li>\n<li>technical security logs: for as short a period as possible and generally no longer than thirty days, unless an incident investigation requires longer retention.<\/li>\n<\/ul>\n<p>At the end of the applicable retention period, data is deleted or anonymised.<\/p>\n\n<h2>11. Security<\/h2>\n<p>We take appropriate technical and organisational measures. The website uses an encrypted HTTPS connection, forms include anti-spam measures, access to administration and mailboxes is restricted and service providers are only given access where necessary. No method is entirely risk-free; please report any suspected misuse or data breach immediately to <a href=\"mailto:info@peggy-sue.com\">info@peggy-sue.com<\/a>.<\/p>\n\n<h2>12. Your privacy rights<\/h2>\n<p>You may request access, rectification, erasure, restriction, data portability or object to processing. Where processing is based on consent, you may withdraw that consent at any time. We may request additional information to verify your identity and will generally respond within one month.
